1. Introduction

This Privacy Policy describes how Vantage Log ("we", "us", "our", or "Vantage Log") collects, uses, shares, and protects information when you use the Vantage Log mobile application and related services (collectively, the "Service").

Vantage Log is a digital companion for general aviation aircraft owners to digitize and organize copies of paper maintenance records. We designed the Service around the principle that your aircraft records are yours. We do not sell your data, we do not show advertisements, and we do not track you across other apps or websites.

By using the Service, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the Service.

2. Information We Collect

We use these permissions only for the stated purposes. We do not silently access your camera, library, files, or send notifications outside of the actions you initiate.

2.5. Communications With Us

2.6. Payment Information

If you purchase a subscription, payment is processed by Apple App Store In-App Purchase or Google Play Billing. We do not receive your credit card number, billing address, or other payment instrument details. We receive only an anonymized confirmation that a purchase occurred, the plan you purchased, and the transaction identifier needed to validate your subscription status.

3. How We Use Your Information

We use the information described in Section 2 to:

  1. Operate the Service — create your account, authenticate you, store and display your Aircraft Data, send notifications you've opted into, process payments.
  2. Provide OCR features — transmit photographs of logbook pages to our AI provider (Anthropic) for structured-data extraction, then store the extracted data in your account.
  3. Derive compliance information — compute next-due dates for inspections from your entries and tags.
  4. Generate exports — render PDF exports of your maintenance records when you request them.
  5. Communicate with you — send transactional emails (sign-up confirmation, password reset, billing receipts) and respond to support requests.
  6. Improve the Service — analyze aggregate, de-identified usage patterns to understand which features are used and where users encounter difficulty (we do not analyze the content of your Aircraft Data for this purpose).
  7. Protect the Service — detect and prevent abuse, fraud, and security incidents; enforce our Terms of Service.
  8. Comply with legal obligations — respond to lawful requests, comply with regulations, enforce agreements.

We do not use your Aircraft Data, your logbook page photos, or any other content you upload to train artificial intelligence models, whether our own or those of third parties.

4. How We Share Your Information

We share information only as described below. We do not sell your personal information or your Aircraft Data to anyone, ever.

4.1. Service Providers

We share information with third-party providers who help us operate the Service. Each provider is bound by a contract requiring them to use the information only for the purpose of providing services to us, not for their own purposes. Our current providers are:

4.2. Legal Requirements

We may disclose information when required by law, court order, or legal process, or when we believe in good faith that disclosure is necessary to protect our rights, your safety or the safety of others, investigate fraud, or respond to a government request.

4.3. Business Transfers

If Vantage Log is acquired by or merged with another company, your information may be transferred as part of that transaction. We will notify you and require the acquiring company to honor the commitments in this Privacy Policy.

4.4. With Your Direction

You may choose to generate a PDF export of your maintenance records and share it through your device's native share sheet (email, AirDrop, Drive, etc.). When you do, you control where the export goes. We do not track exports after they leave the app.

5. Data Retention

5.1. Active accounts. We retain your Aircraft Data for as long as your account is active and your subscription is current.

5.2. Lapsed subscriptions. If your subscription lapses, your data is retained in a read-only state for ninety (90) days, then in an archived state for up to thirty-six (36) months, after which it may be permanently deleted. See our Terms of Service Section 7.6 for details.

5.3. Account deletion. When you delete your account (Settings → Manage Account → Delete Account), we remove your Aircraft Data from our active production systems within thirty (30) days. Backups containing your data may persist in our infrastructure for up to ninety (90) days before being overwritten in the normal course of backup retention.

5.4. Legal hold. We may retain certain information longer if required by law (e.g., transaction records for tax purposes) or if we reasonably believe retention is necessary to comply with a legal obligation, resolve a dispute, or enforce our agreements.

5.5. OCR processing data. Photographs sent to our OCR provider (Anthropic) are processed in accordance with Anthropic's own retention and privacy practices. Anthropic does not retain user-submitted content for training purposes under its standard commercial API terms.

6. Your Rights and Choices

6.1. Access and Export. You can view and edit your Aircraft Data within the app at any time. You can export your aircraft's maintenance records as a PDF from the Share screen at any time. We will provide a complete machine-readable export of your account data upon written request to brian.berg@ascend-solutions.info.

6.2. Correction. You can correct any inaccurate information directly within the app. For account-level information you cannot edit yourself, contact us.

6.3. Deletion. You can delete individual records (entries, documents, engines, propellers, squawks) directly within the app. You can delete your entire account from Settings → Manage Account. Deletion is subject to the retention periods described in Section 5. See our Delete Account instructions for step-by-step guidance.

6.4. Notification Preferences. You can enable or disable reminder notifications at any time from Update Preferences. You can also disable notifications entirely at the device level through your phone's Settings.

6.5. Communication Preferences. We send a minimum of operational emails (sign-up confirmation, password reset, billing receipts). If we ever begin sending optional marketing or product-update emails, each will include an unsubscribe link.

7. State-Specific Rights

7.1. California Residents (CCPA / CPRA)

7.2. Other State Privacy Laws

Residents of Virginia, Colorado, Connecticut, Utah, and other states with comprehensive privacy laws have similar rights, including the right to access, correct, delete, and opt out of certain processing. Contact us to exercise these rights.

7.3. International Users

The Service is designed for users in the United States. If you access the Service from outside the United States, please note that your information will be transferred to, stored, and processed in the United States, where data protection laws may differ from those in your country. By using the Service, you consent to this transfer.

8. Data Security

We implement reasonable technical and organizational measures to protect your information against unauthorized access, alteration, disclosure, or destruction. These measures include:

No security measure is perfect. While we work hard to protect your information, we cannot guarantee absolute security. You can help by choosing a strong password, enabling two-factor authentication where available, and keeping your device's operating system and the Vantage Log app up to date.

If we become aware of a security incident affecting your information, we will notify you as required by applicable law.

9. Children's Privacy

The Service is not directed to, and we do not knowingly collect personal information from, anyone under the age of 18. If you believe that a child under 18 has provided us with personal information, please contact us and we will delete the information.

10. Cookies and Similar Technologies

The Vantage Log mobile app does not use browser cookies. We do use the following device-level identifiers:

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email and by posting an in-app notice at least fourteen (14) days before the change takes effect. The "Last Updated" date at the top of this policy reflects the most recent revision. Your continued use of the Service after the effective date of a change constitutes your acceptance of the updated Privacy Policy.
